Refunds or Deferrals for Extended Learning Programs

Introduction

This policy presents provisions and procedures that relate to tuition fees for Extended Learning programs at Alexander College. Except where otherwise specified, the following context applies to all students enrolled in Micro-credentials and/or Study Tour programs, both domestic and international.

1.0 Definitions

  • 1.1 Domestic Student: Canadian Citizens, Canadian Permanent Residents, and Convention refugees in Canada are classified as domestic Students. International students who are dependents of foreign diplomats in Canada or have their own diplomatic status in Canada may also be classified as domestic students.
  • 1.2 International Student: Non-Canadian students who do not hold permanent resident, convention refugee, or diplomatic status in Canada, and who must obtain the authorization of the Canadian government to enter or study in Canada, are classified as International Students.
  • 1.3 Tuition Refund: A tuition refund may take the form of (a) tuition credit that is returned to the student’s MyEL account, or (b) an amount that is returned directly to the student in the form of cheque, electronic/wire transfer, or credit card refund.
  • 1.4 Program Withdrawal: A student-initiated discontinuation of an Extended Learning program.

2.0 General Rules

  • 2.1 Extended Learning policies are inclusive of both domestic and international students.
  • 2.2 Registration fees for Extended Learning programs are collected at the time of registration.
  • 2.3 Refunds will be issued in the original method of payment and to the original payee only.

3.0 Program Withdrawal

  • 3.1 Students can withdraw from a course up to seven (7) calendar days prior to the program start date.
  • 3.2 When a student needs to withdraw from an Extended Learning course up to seven (7) calendar days prior to the program start date, they can choose to defer to the next intake (if available), or to request a refund.

4.0 Program Deferral

  • 4.1 In the event a student wishes to defer to a new program, they must inform Alexander college at elinfo@alexandercollege.ca seven (7) days or more prior to the program start date. Instructions on deferring will be provided by email at that time.

5.0 Program Cancellation

  • 5.1 If Alexander College is forced to cancel a program due to insufficient enrolment or other reasons, students will be given the option to defer to a future intake, or to request a refund.
    • 5.1.1 If a program is cancelled by Alexander College, students will be entitled to a full refund.

6.0 Class Cancellation

  • 6.1 In the event of an emergency, such as severe weather or illness, Alexander College will notify you as soon as possible if a class must be cancelled. The College will do its best to provide make-up classes, but these can not be guaranteed.
  • 6.2 No refunds will be issued for classes that must be cancelled.

7.0 Refund Requests

  • 7.1 Students who withdraw from an Extended Learning program are eligible for a refund of tuition fees as follows:
    • 7.1.1 More than seven (7) days prior to the program start date: Full refund less a $50 administrative fee, or less a $100 administrative fee if the refund request is via wire transfer.
    • 7.1.2 Seven (7) days or fewer prior to the program start date due to a medical emergency: Consideration will occur on a case-by-case basis, with medical documentation required. Student can receive up to a full refund less a $100 administrative fee.
    • 7.1.3 On or after the program start date: no refunds are available.
    • 7.1.4 In addition to the administrative fee, banks may charge additional transaction fees. These fees are the responsibility of the student and not Alexander College.
  • 7.2 Students who need to withdraw from an Alexander College Extended Learning program can do so by emailing elinfo@alexandercollege.ca
    • 7.2.1 Refunds will be issued by Alexander College within two (2) calendar weeks plus any bank processing time. For refunds via wire transfer refunds will be issued by Alexander College within four (4) calendar weeks plus any bank processing time.

8.0 Student Conduct

  • 8.1 Alexander College Extended Learning students are expected to conduct themselves in compliance with Alexander College’s Academic student conduct Policies. The College is committed to creating an academic environment free from any harassment or discrimination. Failure to comply with these policies may result in removal from the College.
  • 8.2 No refunds are available for any student who is removed from their Extended Learning Program due to failure to comply with our academic and/or student conduct policies.
