Summer Camp 2026

Alexander College & Alexander Academy

This policy applies exclusively to the Summer Camp 2026 program and supersedes the standard Alexander College Tuition and Fees refund schedules, which apply to academic programs only. This is a standalone, non-credit, short-term program with its own fee structure and cancellation terms.

Program Dates: Monday, July 20 – Friday, July 31, 2026, PT (Pacific Time)

Total Program Fee: CAD $5,800 (All-Inclusive)

Payment Terms

  • Payment Deadline: Full payment of CAD $5,800 (including CAD $200 Application Fee) must be received by Wednesday, June 10, 2026, PT.
  • Late Payment: If full payment is not received by Wednesday, June 10, 2026, PT, the student’s reserved space may be released to waitlisted applicants without further notice.
  • Contracting Authority: Where the Participant is under 18 years of age, the parent or legal guardian is the Contracting Party for all purposes under this policy, including payment authorization, cancellation requests, and receipt of refunds. Identity information provided at the time of payment must match the Contracting Party.

Key Definitions

  • Total Program Fee means CAD $5,800, comprising the Application Fee and Program Fees.
  • Program Fees means CAD $5,600, comprising AC Program Tuition (CAD $2,200) and UBC Campus Living (CAD $3,400).
  • Application Fee means CAD $200, which is non-refundable except where the College cancels the program (see Section 5).
  • Participant means the student enrolled in the program.
  • Contracting Party means the Participant (if 18 or older) or the Participant’s parent/guardian (if the Participant is under 18). The Contracting Party is responsible for payment, cancellation requests, and receipt of any refunds unless otherwise authorized in writing.

Cancellation and Refund Terms

The CAD $200 Application Fee is non-refundable under all student-initiated cancellation circumstances, including but not limited to:

  • Cancellations made before the program start date
  • Cancellations due to personal, family, or medical reasons
  • Visa or eTA refusal
  • Changes in travel plans

Note: If Alexander College/Alexander Academy cancels the program (see Section 5), the Application Fee will be refunded.

If written notice of cancellation is received by Alexander College at least thirty (30) calendar days before the program start date (on or before Saturday, June 20, 2026, PT), the Participant will receive a refund of Program Fees in the amount of CAD $5,600, representing:

  • Program Tuition: CAD $2,200
  • UBC Campus Living: CAD $3,400

The Application Fee of CAD $200 is non-refundable and will be retained by Alexander College / Alexander Academy.

Except as provided in Section 4 (Special Circumstances), cancellations made within 30 days of the camp start date (after Saturday, June 20, 2026, PT) are not eligible for any refund, regardless of the reason, including but not limited to:

  • Changes in personal or family circumstances
  • Travel disruptions or delays
  • Weather conditions
  • Health concerns (except as outlined in Section 4.1)
  • Changes of mind

Once the program has started, no refunds will be issued for early departure, withdrawal, or non-attendance, regardless of the reason.

Special Circumstances

Medical or Health Emergency

The College may consider a refund of up to 50% of the program fees, to a maximum of CAD $2,800.

Requirements:

  • Official medical certificate from a licensed physician
  • Detailed documentation supporting the inability to travel or participate
  • Written cancellation request within 5 business days of the medical event, or before the program start date
  • Documents in English or with certified translation

Visa or eTA Refusal

Eligible students may receive a refund of CAD $5,600 in program fees. The CAD $200 application fee remains non-refundable.

Requirements:

  • Official refusal letter from IRCC or the Canadian visa office
  • Written cancellation notice as soon as possible after refusal
  • Notification received no later than the program start date
  • Supporting documents submitted within 14 calendar days of notification

Program Updates & Cancellations

When the Program is cancelled or changed by Alexander College / Alexander Academy.

Insufficient Enrolment

This program requires a minimum of ten confirmed students to proceed. If minimum enrolment is not achieved:

  • Final go/no-go decision will be made by June 15, 2026, PT
  • Full refund of all fees paid (CAD $5,800), including the CAD $200 Application Fee
  • Notification will be provided to all enrolled students as soon as the decision is made

Force Majeure or Unforeseen Circumstances

If Alexander College/Alexander Academy must cancel or significantly modify the program due to circumstances beyond our reasonable control, including but not limited to:

  • Natural disasters or extreme weather
  • Facility unavailability
  • Labor disputes
  • Other events beyond reasonable control

Remedy: Full refund of all fees paid (CAD $5,800), including the CAD $200 Application Fee. To the extent permitted by law, Alexander College/Alexander Academy is not responsible for any additional costs incurred by students or families, including but not limited to airfare, travel insurance, or other travel-related expenses.

Dismissal for Behaviour

In cases of dismissal for behavioural or safety-related reasons, the College will:

  1. Document the incident in writing;
  2. Provide the Participant an opportunity to respond, where practicable;
  3. Conduct a secondary review by a senior designate prior to confirmation of dismissal, except where immediate removal is required for the safety of participants or staff.
❗No refund will be issued following dismissal for cause.

Examples of Behaviours

  • Possession or use of illegal substances
  • Violence or threats toward others
  • Repeated violations of camp rules after three warnings
  • Behavior that endangers the safety or well-being of participants or staff

Warnings will be documented in writing and communicated to the Participant and Contracting Party. The documentation will include the nature of the behaviour, the date, and any corrective actions required.

Refunds & Payments

No Credits, Transfers, or Deferrals

All cancellations are final. Alexander College/Alexander Academy does not offer:

  • Credits toward future programs
  • Transfers to different session dates
  • Deferrals to subsequent years

Refund Recipient

Refunds will be issued to the original payer. Where the payer is not the Participant, written authorization must be provided at the time of payment. If payment was made by an authorized education agent, refunds will be issued to the agent, and the Participant (or Contracting Party) acknowledges that onward disbursement is governed by the agency agreement.

Refund Timeline

Approved refunds will be processed within 30 days of receiving:

  • Written cancellation request submitted to summercamp@alexandercollege.ca
  • All required supporting documentation (if applicable)
  • Confirmation of original payment method

Currency and Bank Fees

  • All program fees and refunds are in Canadian Dollars (CAD)
  • Currency exchange fluctuations between the time of payment and refund are the responsibility of the student/family
  • Any bank transfer fees, wire fees, or currency conversion fees incurred during the refund process will be deducted from the refund amount

Travel Insurance

Alexander College/Alexander Academy strongly recommends that all students purchase comprehensive travel insurance that covers:

  • Trip cancellation for any reason (including cancellations within 30 days of program start)
  • Medical emergencies and medical evacuation
  • Travel delays and interruptions
  • Lost or delayed baggage
  • Emergency family situations
Important: Alexander College / Alexander Academy is not responsible for costs incurred due to travel disruptions, border entry refusal, medical emergencies, weather-related delays, or other unforeseen circumstances.

Required Information

  • Student’s first name and last name (as shown on application)

Acknowledgment: All cancellation requests will be acknowledged within 2 business days of receipt. Refund eligibility will be communicated within 5 business days of receiving all required documentation.

This Payment Terms, Cancellation, and Refund Policy is effective for Summer Camp 2026 (July 20–31, 2026, PT). Version 2.1. Last updated: March 2, 2026. By submitting an application and payment for Summer Camp 2026, the student and parent/guardian acknowledge that they have read, understood, and agreed to be bound by this Cancellation and Refund Policy.

General Terms: Policy Modifications: Alexander College/Alexander Academy reserves the right to modify this Cancellation and Refund Policy. Any modifications will apply only to applications received after the date of modification. Modifications will be published on the Summer Camp 2026 program webpage and communicated to registered education agents by email. Changes take effect as of the date of posting on the program webpage. Governing Law: This policy is governed by the laws of the Province of British Columbia, Canada. Entire Agreement: This Cancellation and Refund Policy, together with the Summer Camp 2026 Application Form and Terms and Conditions, constitutes the entire agreement between the student/family and Alexander College/Alexander Academy regarding program fees and refunds.
